The Wholesalers section of the app includes information and tools for managing all wholesale providers. Each Wholesaler record includes basic information about the wholesale company, as well as primary contact information to assist with inventory management. 

Wholesaler Search and Search Results 

Navigating to the Wholesalers page from the Compounding Dashboard displays the Wholesaler Search and Search Results sections.

The Wholesaler Search allows you to filter the search results below using relevant search terms, such as the wholesaler name. 

Additional options are available under the Filters button. Here, you can open the Filter Options to include or exclude additional results in the search. For example, selecting Show Deactivated Wholesalers will also include wholesaler records that are marked as inactive in the search results.

To filter the search results, enter the search terms into the relevant fields and click Search. To clear any filters or search terms, click Clear All.

By default, the Search Results display a list of all wholesaler records stored in the app, sorted by wholesaler ID, which is automatically generated by the system. (To do: Will the wholesalers displayed be per pharmacy?) Each result includes the following information:

  • Wholesaler ID: The wholesaler ID number, automatically generated by the system.

  • Name: The name of the wholesale company.

  • Contact Name: The first and last name of the primary point of contact.

  • Phone: The phone number for the primary contact.

  • Email: The email address for the primary contact.

  • Fax: The fax number for the primary contact.

  • Address/City/State: The wholesale company address.

  • Active: Whether or not the wholesaler is considered active. If active, this column will display a Yes; otherwise, inactive records will display a No in this column.

Search results can be sorted according to the categories listed at the top of the table by clicking on the three dots ( ⠇) to the right of each column title.

View a Wholesaler

To view a wholesaler record, click on the underlined ID number to the left of the Search Results table. 

The top of the wholesaler record includes the wholesaler name, the email address for the primary contact, and the date the wholesaler was entered into the system. Further to the right, you'll find the Show Details, Edit, Deactivate, and Activity Log buttons.

Below the wholesaler's basic information is an Inventory section and results table. This table includes inventory from the related wholesaler, filtered by Chemical Purchases or Device Purchases. You can toggle between inventory types by clicking on the related tabs above the results table.

Show Details 

For more information on the wholesaler, click the Show Details button. This will open an additional section below the wholesaler name and basic information.

The details section includes:

  • Name: The wholesaler company name.

  • Phone One: The company's primary phone number.

  • Contact Name: The first and last name of the primary point of contact.

  • City: The city in which the company is located.

  • State: The state in which the company is located.

  • Email: The company’s primary email address.

  • Fax: The company's fax number.

  • Phone Two: A secondary phone number, if applicable.

  • Address: The street address for the company.

To remove the additional details from view, click the Hide Details button. 

Edit Wholesaler

The Edit Wholesaler button allows you to edit or modify any of the information related to the wholesaler record.

Clicking the Edit Wholesaler button opens the Edit Wholesaler form. To make changes to the wholesaler record, use the available fields to edit, modify, or delete any of the wholesaler information, as needed.

Once all of the required changes have been made, click Save Wholesaler

Deactivate

If a wholesale company is no longer active, you can mark it as inactive in the system. This means that it will no longer be visible in search results unless the Filter options are used to explicitly display inactive records.

To deactivate a wholesaler record, click Deactivate. In the pop-up window that appears, click Deactivate once more to confirm the action. Clicking Cancel will return you to the previous page.

It is also possible to reactivate an inactive wholesaler by clicking the Reactivate button that appears in the upper right corner of the page.

Activity Log

You can view the system Activity Log by clicking on the clock icon in the upper right corner of the page.

Chemical Purchases

By default, a wholesaler record displays the Chemical Purchases tab. This tab includes a list of chemical inventory purchased from the related wholesaler, displayed in a Results table.

All chemical inventory includes the following information:

  • ID: The inventory ID number, automatically generated by the system.

  • Chemical: The chemical name.

  • Expired: 

  • Active: Whether or not the chemical is active. If the chemical is active, a Yes will appear in the column; inactive chemicals will display No.

  • Expiration: The chemical's expiration date.

  • Amount:

  • Purity:

  • MFG:

  • Wholesaler: The wholesaler name.

  • # of Packages: The number of packages received.

  • Package Size: The package size, e.g. 10 units.

  • Package Units: The type of units in the package, e.g. 100ml vial.

  • NDC: The National Drug Code (NDC) number for the chemical.

  • AWP Per:

  • Invoice #: The invoice number for the related inventory.

  • Invoice Date: The date included on the invoice for the related inventory.

  • Note: Any notes added to the invoice log entry.

Device Purchases

To view all device purchases related to a specific wholesaler, visit the Device Purchases tab. This tab includes a list of device inventory purchased from the related wholesaler, displayed in a Results table.

All device inventory includes the following information:

  • ID: The inventory ID number, automatically generated by the system.

  • Device: The device name.

  • Expired: 

  • Active: Whether or not the device is active. If the device is active, a Yes will appear in the column; inactive devices will display No.

  • Expiration: The device's expiration date.

  • Amount:

  • Purity: The chemical purity. 

  • MFG:

  • Wholesaler: The wholesaler name.

  • # of Packages: The number of packages received.

  • Package Size: The package size, e.g. 10 units.

  • Package Units:

  • NDC: The National Drug Code (NDC) number for the device.

  • AWP Per: Average Wholesale Price

  • Invoice #: The invoice number for the related inventory.

  • Invoice Date: The date included on the invoice for the related inventory.

  • Note: Any notes added to the invoice log entry.

Add a Wholesaler

From Wholesalers

To add a new wholesaler, click + Add Wholesaler in the upper right corner.

Enter the relevant information on the Create Wholesaler form, starting with the Details section. In the Name field, enter the name of the wholesale company.

Under Address, enter the company's street address, city, and state. The street address field includes autocomplete search results, which will automatically update as you enter the relevant street address information. Once the appropriate address appears, select it from the drop-down list to automatically fill out the remaining fields.

The Contact section allows you to store information related to the primary contact at the wholesale company. Here, you can enter the contact's name and contact information.

Once all relevant fields have been completed, click Save Wholesaler to create the new wholesaler record.

From Create Inventory > Create Wholesaler

To do: Decide on a single source of truth. The Devices document has a similar workflow where devices may also be added via the Formula record. In this case, I think it makes sense to include both here, but I'd like to review for consistency.

In addition to creating a new wholesaler record via the Wholesalers page, it is also possible to add a wholesaler record while adding inventory to a chemical record. 

From the chemical record, click + Add Inventory. On the Create Chemical Inventory form, locate the Wholesaler Information section.

To add a new wholesaler record directly from this page, click the Create Wholesaler button. Clicking the Create Wholesaler button opens a dynamic Creating Wholesaler form within the inventory logging process.

On the Creating Wholesaler form, enter the wholesaler name and select the Active toggle to register that the wholesaler is active. Below, under Contact, enter the first and last name of the primary point of contact, as well as the related forms of contact, such as phone, email, and/or fax.

In the Address section, enter the wholesale company's primary address. Using the Address field, begin typing the relevant street address to filter the results that appear in the drop-down menu. Once the correct address appears, select it from the list to fill out the remaining fields. 

Once all fields have been completed, click Create Wholesaler to create and add the new wholesaler record to the inventory lot.
